Note that specialized software such as Microsoft Project generate these project management tools and ensure a certain level of follow-up automatically. Unless you become a full time project manager, you will not need such software. They can become expensive.

Gantt Diagram

Description: Gantt diagrams are linear schedules with two dimensions (set of tasks / time). Sets of tasks are organized by type of activity (ex: fund-raising, public presentation, marketing) – different Gantt diagrams can be set up for each. Then, tasks are usually organized by order of execution. A Gantt diagram is a great tool to present the current status of the overall project to teammates and sponsors.

What software to use: all-purpose spreadsheet software (Microsoft Excel, OpenOffice Calc (free)) – but not specialized for statistical analysis (SPSS, SAS, R).

When to use it: whenever you need to present a precise schedule (at meetings, to sponsors, at the evaluation process). Ideally, an updated version should be available at all time to the whole team working on the project.

When to modify it: while the original planned timing should always remain accessible in some ways as it allows for self-evaluation, the project manager should keep track of delays by adjusting and recalculating the schedule every time such situation comes up.
How to modify it: for a task that finishes late, add coloured cells.
